Managing Distribution Lists | Exchange Server content from Windows IT Pro

Microsoft has done a great job of ensuring that hybrid Exchange Online/Office 365 tenants have almost all of the features and functionality of on-premises Exchange Server deployments, without the need for running and maintaining their own servers. However, there is still one major gap companies consistently run into as they move to a hybrid Exchange Online/Office 365 environment: distribution list (DL) management.

In hybrid Exchange Online/Office 365 environments, DLs are created on premises and synchronized with Azure Active Directory (Azure AD) through DirSync so that users with mailboxes in Exchange Online can use those DLs. However, Exchange Online users can't manage their own DLs because DirSync doesn't support the write back of DLs from Office 365 to the on-premises Active Directory (AD) forest. Exchange has supported the delegation of DL management to users for several versions now, so it comes as a bit of a shock to IT departments when they find out that they have to manage DLs again.

There are several solutions for this problem, which fall into two categories:

The reason why I started off with SharePoint and Lync Hybrid was because there were some major advances with the new 2013 platform being released. Exchange Hybrid has already been a fairly robust solution even before the 2013 release. There are still improvements to be talked about and some good resources you should have.

In this blog I will capture some of the new changes to Exchange Hybrid good resources you should be aware of for planning.

The hybrid configuration wizard will now do the following:

  • Create a new self-signed certificate that will be used for federation with the Microsoft Federation Gateway (MFG)
  • Create a new federation trust with the Microsoft Federation Gateway (MFG)
  • Create a new hybrid configuration object in the on-premise Active Directory

When the wizard has completed, click “Finish”.

Now right-click on the new hybrid configuration object and select “Manage Hybrid Configuration”. On the “Introduction” page, click “Next”.

Pre-flight checks against your Exchange environment

With your Office 365 prerequisites in place, it's time to check over your Exchange environment to verify that everything you need for the Hybrid Configuration Wizard to successfully execute is in place, and help ensure that features work after your hybrid configuration has been implemented.

Auto Discover and Exchange Web Services Checks

The first thing we need to check is connectivity to Auto Discover and Exchange Web Services from outside your organization. If you've already got external clients working correctly, there's a fair chance this is already configured, but it doesn't hurt to test.

To test Auto Discover and Exchange Web Services, we'll use Microsoft's Remote Connectivity Analyzer to simulate Exchange Web Services connectivity, using AutoDiscover as part of the process. First create a test Exchange mailbox, and then run the EWS General Test (as shown below) to verify connectivity, and remediate if necessary.

It is suggested that you test the issue in a public network without any firewall/proxy, such as home network. What is the result? This will help us analyze it.

6. Go to this site to test Autodiscover:  -> Office 365 tab -> Outlook Connectivity -> enter the migrated mailbox address.

Cumulative updates and update rollups are released on a quarterly cadence so keeping your servers on the latest cumulative update or update rollup gives you some additional flexibility if you periodically need extra time to complete upgrades.

On-premises server roles The server roles you need to install in your on-premises organization depend on the version of Exchange you have installed.

  • Exchange 2010 At least one server with the Mailbox, Hub Transport, and Client Access server roles installed. While it's possible to install the Mailbox, Hub Transport, and Client Access roles on separate servers, we strongly recommend that you install all of the roles on each server to provide additional reliability and improved performance.

  • Exchange 2013 At least one server with the Mailbox and Client Access server roles installed. While it's possible to install the Mailbox and Client Access roles on separate servers, we strongly recommend that you install both roles on each server to provide additional reliability and improved performance.

  • Exchange 2016 and newer At least one server that has the Mailbox server role installed.

Exchange 2010 At least one server with the Mailbox, Hub Transport, and Client Access server roles installed. While it's possible to install the Mailbox, Hub Transport, and Client Access roles on separate servers, we strongly recommend that you install all of the roles on each server to provide additional reliability and improved performance.

Install Directory Synchronization Tool 9.1

For Directory Sync Tool we need an on-premise server where we can install and run the service: we already have a brand new VM dedicated to Office 365 DirSync , a  requirement for federation and single sign-on, so I installed the FOPE DirSync Tool on the same server.

Cloud on Your Terms

A Hybrid configuration allows for both on-boarding to Exchange Online, and off-boarding back to Exchange on-premises. This allows an organization to move one, or just a few mailboxes to the cloud for a pilot phase. If any problems are encountered, then the mailboxes can simply be moved back to on-premises Exchange servers, an option that is not possible with Cutover and Staged migrations.
